The Mountain Butler, LLC (we, us, or our) provides a pre-arrival grocery and lifestyle concierge service for vacation rentals in and around Pagosa Springs, Colorado. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
Information we collect
We collect the information you provide when you place an order or contact us, including your name, email address, phone number, the delivery address for your rental, access or arrival details, your shopping list and preferences, and your order history. When you check out, your payment is processed by our payment provider, Stripe. We do not store your full card number on our systems. We also collect basic, non-identifying technical information automatically, such as your device type and the pages you visit, to keep the site working and secure.
Running a delivery creates a few things too: a photo showing where your groceries were left, the store receipt for your shop, and a record of any texts or calls between us. If you leave a voicemail, the recording is kept for a short time — see how long we keep your information below.
How we use your information
- To shop for, fulfill, and deliver your order.
- To communicate with you about your order and provide support.
- To process payments and authorization holds.
- To improve our service and website.
- To send you updates or offers, if you have asked to receive them.
- To prevent fraud and keep our service secure.
- To meet our legal, tax, and accounting obligations.
How we share your information
We share your information only as needed to run our service:
- With the local shoppers and delivery staff who fulfill your order.
- With service providers who work on our behalf: Stripe for payments, and the providers who carry our email and text messages and host this website. They may only use your information to do that job for us.
- With a property manager, if your order is placed through one of our property manager partners.
- When required by law, or to protect our rights, our customers, or our staff.
- In connection with a business sale or transfer.
We do not sell your personal information.
Text messages
We only text a number when the person it belongs to has given it to us and asked us to. That happens in one of three ways: you check the optional box at checkout, which starts out unchecked; you choose Text or Both when our partner sign-up form asks how we should reach you; or you tell us so on a phone call, which we write down along with the date. Agreeing to texts is never a condition of placing an order, becoming a partner, or completing any other transaction with us, and we never text a number we obtained from anywhere other than you.
A phone number on its own is not consent. Checkout does require a phone number, because a grocery shop needs a way to reach you on the day — but we treat that number as a way to call you and nothing more unless you have separately opted in to texts by one of the three routes above.
The messages are about your order: a confirmation the moment we receive it, the delivery window, a question when something on your list is out of stock and we need to know what to swap it for, and a note once the delivery is done. Expect a few messages per order, and no marketing. Message and data rates may apply, depending on your mobile plan. Reply STOP to any message to stop them at any time, or HELP for help. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors who provide support services — for example the text-message provider that carries our messages — is permitted solely so that those messages can be delivered to you. Text-messaging originator opt-in data and consent is never shared with any third party.
Cookies and analytics
Our website uses a small number of cookies to remember your cart and to keep you signed in where that applies. We do not run advertising trackers and we do not build a profile of you across other websites. You can control cookies through your browser settings.
How long we keep your information
We do not keep things indefinitely just because we can. Some information is deleted automatically on a schedule:
- Voicemail recordings are deleted after 30 days. We keep a note that you called and how long the message was, but the recording itself is removed.
- Delivery photos — the picture our shopper takes showing where your groceries were left — are deleted after 1 year.
- Text message conversations are deleted after 2 years.
- Local Delivery requests — your name, phone, email and the street you gave us when asking about a spot on the local delivery run — are deleted after 1 year, or after 90 days if you tell us you’d rather not go ahead. If you take a spot, we keep the request until the run starts, because until then it is the only record of the arrangement.
Your order and payment records are kept for longer, because tax and accounting rules require it. If you ask us to delete your information we will, apart from the records we are legally required to hold on to — and we will tell you plainly which those are.
Your choices and rights
Your information is yours. You may ask us at any time to tell you what we hold about you, to correct it, or to delete it, and you may opt out of marketing messages whenever you like. We do not sell your personal information, we do not trade it, and we do not use it for anything other than running this business and looking after your order. Security
We use reasonable administrative and technical measures to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Children
Our service is intended for adults. We do not knowingly collect personal information from children under 13.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the date at the top of this page.
